Short Rental Reservation Agreement

This is our standard rental agreement. Long term reservations have different rental agreements and cancellation policies.

Reservations.


Check In/Check Out Policy:
Check-in is 3:00 PM  on the day of arrival. Check-out is 11:00 AM on the day of departure.


Short Term Rental Reservations:
A short-term rental is any reservation for 30 nights or less.


Long Term Rental Reservations:
Long term rental reservation 30 days or more.

Short Term Rental Reservation Cancellation Policy:
Guests may retain 50% of the deposit if reservation is cancelled within (7) days prior to arrival, with the exception of reservations made seven (7) days or less before the date of arrival. Reservations made within seven (7) days or less of the date of arrival will result in forfeiture of the total rental deposit and the security deposit of One Thousand Dollars ($1,000.00). 


Graduation Reservations:
Graduation reservations requires a three (3) night minimum stay rate of Twenty-Five Hundred Dollars per night ($2,757.00-includes all taxes) plus a required security deposit of One Thousand Dollars ($1,000.00). Graduation for 2017 dates are May 12 – 14 and May 19 – 21, 2017.

The Manors, LLC Rental Policies

I. Contract: Online reservations constitute the binding and valid rental agreement subject to the terms and conditions set forth herein. For telephone reservations, terms and conditions will be sent via email and must be signed and accepted electronically or by hard copy; whichever is preferred by guest. Failure to submit and sign the agreement and accept the terms and conditions set forth herein means that guest has no valid reservation and The Manors, LLC may offer the property to another party.

II. Pets: No Pets are allowed.

III. Occupancy: There is a maximum occupancy of 24 persons staying at the property at any time. All additional guests must be out of the property no later than 12:00a.m. (midnight). Vehicles parked on property must not exceed maximum occupancy. Only adults 25 years old and older may reserve the Property and an adult must occupy the Property at all times when children (under 21 years if age) are present. Violators of the policy will be subject to an additional minimum Five Hundred Dollar ($500.00) fee. Guest agrees to have additional cleaning fees for an occupancy violation that will be charged to the credit card submitted upon booking the reservation.

The occupancy and parking policies are established by county ordinance to control the noise and congestion in our neighborhoods, as well as to maintain the quality of our properties. We do not allow RV’s, trailers or campers on the property. Occupancy is limited to twenty-four (24). A 5% lodging tax and 5.3% state sales tax are assessed on the daily rate (which is included). In addition, guests are assessed a Three Hundred Fifty Dollar ($350.00) cleaning fee. If guests fail to check out by the required check-out time of 11:00a.m. and the cleaning crew arrives, guests will be charged Fifty Dollars ($50.00) per hour as the cleaning crew waits. Check-out time is 11:00a.m. on the day of departure. A credit card is required to be on file for any extensive damages. Guests agree to leave kitchen clean and dishes clean and put away. Failure to adhere to this will result in an additional Fifty Dollar ($50.00) cleaning fee. 

For your convenience, we accept VISA, MasterCard, Discover and American Express cards and require that an active card be on file in case of damage to the property or additional fees assessed due to violation of this agreement.


IV.  Property Damage: When on the property, guest may not permit any acts that violate any state, municipal or local laws. Guests may not destroy, damage, deface, or remove any contents or permit any person to do so. Guests are liable for all damages to furnishings and to the property. Guests must report any damage at the property so that The Manors, LLC can hold the correct party responsible. Guest agrees to have all fees for damages to be charged to the credit card submitted upon booking. If guest is unable or unwilling to pay for damage caused by their group within Thirty (30) days of departure, they will be responsible for the cost of the repair and; in addition, they will be responsible for the cost of any and all legal, attorney and administrative fees/cost incurred by The Manors, LLC.
 

The Manors, LLC assumes no liability for damages, expenses, acts of God or any inconveniences due to the loss of services out of its control and guests waived any such claims


V. Termination: Guests shall use the premises only as a dwelling. Any violation of terms of this agreement is grounds for immediate revocation of this agreement and removal from the property.

VI. Noise: No guest shall permit, cause or create any nuisance to exist. Please respect the rights of the neighbors by restricting noise and sound to a reasonable volume.

VII. Loss: Upon departure, inventory of all furnishings, appliances, dishes, etc will be taken. Any broken or missing items may be charged to the guest’s credit card.

VIII. Refunds: There will be no refunds for early departures. Breakdown of appliances, heat, air conditioning, water or plumbing, etc. If said breakdown is due to the weather and/or other conditions over which The Manors, LLC has no control, all signatories to this agreement as guest are severally and jointly responsible for the faithful performance of this agreement. All payments shall be applied to any outstanding balances of any kind including late charges and for any other charges due under this agreement.

IX. Access to Property: Doors and windows must be kept locked at times when the property is not occupied.
A keypad is accessible to guest. The code for the keypad will be provided prior to check-in.


X. Privacy: All credit card information is kept confidential and encrypted to prevent unauthorized charges.

XI. Neighborhood Policy:  The Manors, LLC property is located in a residential neighborhood where year-long residents reside. We want you to enjoy your stay but please be considerate of the neighbors with your noise and activities.

XII. Children: The property we manage is not child proof and requires that children be supervised by an adult at all times.  The Manors, LLC will not be responsible for injuries sustained by any guest or child.

XIII. Lost and Found Policy: The Manors, LLC is not responsible for personal property left behind, damaged or stolen during your stay. Upon check-out PLEASE check the property carefully and take all of your belongings. If you find that you have left something behind please call and we will attempt to locate the items. Shipping charges on all returned items will be the responsibility of the guest.

XIV.  Confirmation of Reservation: Reservations are not completed confirmed until reviewed by the reservation agent who will contact the guest via telephone to verify an online booking, confirm pricing and minimum stay guidelines.


XV. Legal: In the event that The Manors, LLC must take action to enforce any of the provisions of this agreement. The Manors, LLC shall be entitled to any costs, fines and attorney’s fees. 


The laws of the state of Virginia shall govern the validity of this agreement, the construction of its terms and the interpretation of the duties and rights.

Guest shall be responsible for all costs and reasonable attorney’s fees incurred by The Manors, LLC if an attorney is employed to enforce the terms and conditions of this agreement whether or not a suit is filed.

ADDITIONAL DISCLOSURES

The Manors, LLC provided accomodations to guests. Under no circumstances shall The Manors, LLC be responsible for any loss, damages, expense or injury indirect or direct, consequential or otherwise incurred or caused whether arising for rendering of accomodations or services as described in this Agreement or as a result of any delay(s), rescheduling(s), substitution(s) or change(s) in services or accomodations arranged by The Manors, LLC. Additionally, The Manors, LLC shall not be responsible for any loss, damages, expense or injury indirect or direct, consequential or otherwise incurred or caused by acts of God, military actions, or by any agents, subcontractors, employee or servants for services as substituted or provided as described in this Agreement. The Manors, LLC is not responsible for any damage or theft of personal property and no refunds will be given for any such occurrences. Guest should lock all vehicles and remove personal belongings. Guest acknowledges that, if all rental monies have been paid, the maximum recourse, if any, the guest has against The Manors, LLC for any alleged breach of this Agreement is the amount of the rental paid or to be paid to The Manors, LLC arising out of this Agreement and hereby waive all additional claims it may have.

The Manors, LLC will make every effort to assure that the information in this Agreement is correct and cannot be held responsible for changes made to the property or for advertising errors. The Manors, LLC makes every effort to relay home information via pictures, relative pricing, descriptions and website. There will be NO refunds due to property discrepancies.
